Pride in Care is a B2B 2SLGBTQI+ inclusion consulting and education business for the seniors’ care sector. We are based in Ottawa, Ontario, and serve organizations across Canada. This policy explains how we collect, use, and protect information when you visit prideincare.org, contact us, or work with us.

We are committed to protecting your privacy in keeping with Canadian law. This includes the federal Personal Information Protection and Electronic Documents Act (PIPEDA), applicable provincial privacy laws, and the federal Anti-Spam Legislation (CASL). We treat privacy and confidentiality as part of creating safer, more affirming environments. That matters especially when an inquiry involves a resident, client, family member, or staff member and the details may be sensitive.

1. Information We Collect

When you contact us through our website, email, phone, or a scheduling link, we collect the information you choose to share. This may include your name, email address, phone number, organization, role, type of organization, the nature of your inquiry, and your message. It may also include information you provide while arranging a consultation or discussing services with us.

Please share only the personal information that is necessary for us to understand your request. If you tell us about a sensitive incident or situation, we handle that information with care and use it only for the purpose for which you provided it.

2. How We Use Your Information

We use the information you provide to respond to your inquiry, arrange a consultation, understand your organization’s needs, deliver the services you request, and communicate with you about our work. Under PIPEDA, we only collect and use personal information for purposes that a reasonable person would consider appropriate, and we identify those purposes clearly.

We do not sell or rent your information. We will not identify your organization publicly or share the details of your situation as a case study without your explicit written permission.

3. Sharing Your Information

We keep your information confidential and share it only when it is reasonably necessary to respond to you, provide the services you request, operate our website and scheduling tools, or meet a legal obligation. Service providers who support these functions are expected to handle information securely and only for the purpose they are engaged to perform.

We do not share sensitive inquiry details with other organizations, families, staff, or the public unless you ask us to or we have your explicit permission. We may disclose information where required by law or where necessary to protect someone’s safety or legal rights.

4. Cookies and Analytics

Our website uses Google Analytics 4 (GA4) to understand how visitors use prideincare.org so we can improve the website and our resources. GA4 uses cookies and similar technologies to collect anonymous, aggregate information such as which pages are visited, how long visitors stay, how far they scroll, and the general type of device (mobile or desktop) and approximate region (such as province or country) a visit comes from.

We have enabled IP anonymization, so Google does not store or receive your full IP address. We do not use GA4 to identify individuals, and we do not link analytics data to your name, email, or any information you share when you contact us. The behavioural events we track (page views, scroll depth, time on page, resource views, form submissions, and button clicks such as phone or booking links) contain no personal data.

GA4 also collects standard, anonymous traffic-source information (such as whether you arrived directly, from a search engine, or from a referring website) so we can understand how people find our resources. You can control cookies through your browser settings, although disabling them may affect how some parts of the website work.

5. Electronic Messages and CASL Consent

When you sign up for our newsletter, welcome series, or other updates, you consent to receiving electronic messages from Pride in Care. We follow Canada’s Anti-Spam Legislation (CASL): we only send commercial electronic messages with your consent, we identify ourselves clearly in every message, and we include a working unsubscribe link in every email.

You can withdraw your consent and unsubscribe at any time using the link in any of our emails, or by contacting us at hello@prideincare.org. We will honour unsubscribe requests promptly and without question.

6. Data Security

We take reasonable administrative, technical, and physical steps to protect the information we hold from loss, misuse, unauthorized access, disclosure, alteration, or destruction. We limit access to information to people and service providers who need it for the purposes described in this policy, consistent with our obligations under PIPEDA and applicable provincial law.

No method of sending or storing information is completely secure. If you have an especially sensitive concern, please contact us first so we can discuss the most appropriate way to share it.

7. Your Choices and Access Rights

Under PIPEDA and provincial privacy laws, you have the right to know how your personal information is used, to access the personal information we hold about you, and to request corrections if it is inaccurate. You may also ask us to delete personal information, choose not to provide optional information, unsubscribe from non-essential communications, or ask us not to contact you further. Some information may need to be retained where required for legal, accounting, or service-record purposes.

We are not responsible for the content, security, or privacy practices of external sites, so we encourage you to review their policies before sharing information.
